Setting the User Account Preferences for Email in xTuple

Start xTuple and navigate to User Preferences. The Email tab will have a number of fields to enter.

  1. Navigate to the User Preferences

  2. Select the "Email" tab

  3. Enter your "Username" and "Password" in the IMAP settings section to grant access to your email.

    Note

    The password is stored in encrypted form, which means you must configure xTuple's encryption system and get a copy of your company's shared encryption key to save it. If you don't enter your email password here, you will be prompted for it as needed.

  4. The "IMAP Server" is the name or Internet address of the email server host.

  5. The "Port" is the Internet port the IMAP server is listening on. The port number is usually either 143 or 993.

  6. Set the "Method" to either TCP or SSL.

    Note

    Choose the method based on instructions from your email provider or network administrator. TCP is usually (but not always) for unencrypted connections, while SSL connections are always encrypted.

  7. The IMPORT TROJITA SETTINGS applies for those who used an earlier version of xtConnect and had set their IMAP settings and Folders settings with the Trojita mail client. Clicking this button will import the settings for the IMAP fields above as well as the Folders settings.

  8. The list of mailboxes to synchronize is used to identify the Folders - or "Labels" if you are using Gmail - that you are syncing between xTuple and your mail server. You can add or remove these folders by clicking the EDIT LIST button.

  9. When you click the EDIT LIST button, a new screen will appear - Choose Email Folders to Synchronize.

  10. On the Left are the Available folders. You can select to either move a single folder by using the > button or move all of the folders by using the >> button. They will appear on the Right side as the Selected folders. When the folders that you want to sync are all on the Right side, click the SELECT button.

  11. The checkbox for "Synchronize Email while running application" means that while xTuple is open, the email synchronization will be running in the background.

  12. Most users should turn "Debugging" off. This can be turned on (set to a small positive number) to help administrators and xTuple support staff trace activity if the email synchronization does not work as expected. Larger values generate more debugging output. Turning on debugging can hurt overall application performance.

Click SAVE and you are done with set up. You should be able to go to a Contact in xTuple for which there was mail traffic in the folder you synchronized, and see mail history for that Contact.

Note

You will need to stop and restart the synchronization processor any time you change folder settings for the new settings to take affect.
